How to run a sales pipeline that actually closes

A sales pipeline is supposed to show you where revenue is coming from. Too often, it becomes a graveyard — deals sit in "Qualified" for weeks, no one follows up, and the quarter ends with a surprise miss.

Keep stages honest

Every stage should have a clear exit criterion. A deal is in Proposal only when a written proposal has been sent and acknowledged. If you can't name the criterion, the stage is hiding inactivity.

Watch for stalls

The single best leading indicator of a lost deal is time since last contact. A deal that hasn't moved in 14 days is usually already lost — you just don't know it yet. Review stale deals weekly before they go cold.

Follow up without the grind

This is where most reps lose hours. The fix: let AI draft the follow-up. Point it at the deal notes and ask for a short, specific email that references the last conversation. You edit, approve, send — in two minutes instead of twenty.

The rep who follows up twice as often, wins. The rep who automates the follow-up, follows up twice as often.

Make it a habit

  • Review the pipeline twice a week
  • Kill deals that have been stuck for 30 days
  • Draft every follow-up with AI, then personalize

A clean pipeline compounds: accurate forecasts, fewer surprises, and a team that spends its time selling instead of sorting.
